2012 Housing Selection Information
Housing Selection Process
The Office of Residence Life housing selection process is designed to provide housing options for all upper-class students, with priority given to student academic credit status as well as the number of semesters lived in residence. Please read through all the materials as we will be following these guidelines very strictly.
- Excluding first-year freshmen, all students who intend to live on campus in Fall 2012 must pay a $300 deposit. All payments should be paid at the Business Office, Holy Family Hall 202. Students can pay by cash, check or credit card. See the Business Office with questions. The receipt of payment is due by March 23rd along with the housing application.
- All students must pay the deposit by March 23, 2012 (during business hours) in order to be eligible for the selection process. If there are financial conditions why this deposit cannot be met in time, please contact Director Brett Buckridge, before the deadline.
- The Office of Residence Life will accept housing deposits after the deadline, but those students will select housing after everyone who deposited on time has selected.
- It is very important to note that students will be held to the terms of the housing contract. Students should read this contract in its entirety and understand all of the terms. The contract is for the entire academic year (August 2012 – May 2013). A resident may terminate this agreement only for graduation. Breaking this contract will result in the loss of the housing deposit. Once a student has moved in at the beginning of the year (August) leaving anytime before the full year will mean the loss of the $300 deposit.
- Housing Applications will be available starting January 9, 2012. It can be found online or at the Office of Residence Life (see link listed at end of packet).
- All students planning on entering the housing selection process must submit an application by March 23, 2012. Housing Applications are to be submitted to the Residence Life Office, Campus Center 204.
- Housing Applications should be complete and also submitted by the deadline. By answering the questions on the application properly, you will help with determining your tier level and selection time.
- It is important to list who you plan to “pull in” or live with. Roommates requesting one another should both put both names on their applications. This is the same for all members of an apartment or duplex. If all applications do not match up, then you may not be placed with those people. The only way a student in a lower tier can be placed in housing before a student in a higher tier is if they are “pulled in” by someone of equal or higher status.
- All students who have applied and deposited on or before March 23, 2012 will be placed in a specific tier according to their academic credit status and the number of semesters they have lived on campus. You will be emailed your selection time to your HFU account.
- Students in each specific tier will be randomly assigned a selection appointment time, starting with the earliest time, until everyone who has applied receives an appointment.
- The tier lottery system is based on seniority and provides a benefit for those students who have attended Holy Family University and lived in residence the longest (credits completed and not just attempted).
- The lottery system is designed to give seniors living on campus for their entire career first choice. The following chart outlines the tier system.
- Tier 1 applicants (first tier to select) will select before Tier 2 and so on until Tier 12 (last tier to select).

- Students will receive an individual selection appointment time in their Holy Family email accounts on March 30, 2012. This appointment will list that student’s date/time to come to choose where he/she wants to live. Selection takes place in CC 204.
- All students selecting housing must be present, or students must have a signed proxy form if they cannot make their appointment. If a student does not show up and does not have a proxy form done before his/her time, he/she will have to wait until open selection periods. Proxy forms can be found online and/or can be picked up in CC 204.
- Students may not pull-in students who have not deposited or have deposited after the deadline.
- Under no circumstances are students permitted to use another student’s name and lottery information to select housing with the intention of later swapping into that assignment. Students may be subject to judicial actions if they are determined to have intentionally manipulated the housing lottery system.
- No room changes will be considered until two weeks after the housing lottery, and all must be approved by the Office of Residence Life.
- Students who have not yet selected a spot or who deposited late and need to select should select on Monday, April 16th. This might include a group who wanted a particular area but it was not available so they had to re-structure or singles who never found a roommate and there was no available single occupancy spot left. In that case, the Office of Residence Life will place the students.
Student selecting housing as an individual
- If a student does not have a roommate he/she may select single housing only or be placed in a vacant bed space at the conclusion of housing selection. The University reserves the right to place a student in any vacancy. All vacancies will be available and the possibility of having a roommate will be very likely.
- Students selecting as individuals will come during their appointment times and select their housing. Students unable to select at that time can have someone select for them by filling out a proxy form. A proxy form can be handed in ahead of time and the Office of Residence Life can act as your proxy based on your housing preferences.
- Any student who does not show up at their appointed time, or who does not submit a proxy form, must come to select housing during an open selection period.
- A single individual may only select housing in a single room. Single rooms are only in Stevenson Lane Residence and Saint Joseph’s Hall. They are limited.
- Roommate Binder: Since single-room options are limited, we recommend you find a roommate before the selection process begins. Any student who needs a roommate may fill out a roommate request form. This form will be placed with the other requests in a binder in the Office of Residence Life. Students may look through these forms to try to find a new roommate. Forms are kept inside the binder in the Office of Residence Life.
Students planning to select as a group or “pull-in” other students
- To select housing as a group, the group of students must fill to occupancy.
- This means:
- To select a Garden Residence Apartment you must have a group of four.
- To select a Duplex apartment you must have a group of three
- To select a room/suite in Stevenson Lane Residence you must have a group of two or four.
- Students planning to live together in a room, suite, or apartment must come during one of the group member’s appointed times. The group can only select during a group member’s selection appointment time or an open selection period after the first missed appointment. In order to receive the best available housing, it is encouraged that you appear at the earliest selection appointment time.
- In order for the group to select housing at an appointed time, the student who is scheduled for that time must be present, or a proxy form must be submitted for each member of the group who can’t attend.
- If a student fails to show up for the group and no proxy form has been submitted, the group can select without the student, but the missing student will not be considered as a part of the group. The absent student can select his/her housing at his/her individual time. Residence Life will not reserve or hold any available vacancies.
- Once students are placed, they are legally contracted for that specific placement. Be sure to select people who you wish to live with for the entire year.

Students in the 2012-2013 housing selection process will be able to choose from the following buildings if available:
- Stevenson Lane Residence (4 person suites, 2 person rooms, or single room options)
- Garden Residence Apartments (4 person apartments)
- Duplex Apartments (3 person apartments)
- Saint Joseph’s Hall (single rooms only)
